Policy: Guidelines to comply with the University’s Media Disposal, Destruction and Redeployment Protocol
Policy Statement:
It is required that all electronic information be wiped or destroyed on media owned by the University before it is surplused, scrapped or redeployed. This includes hard drives in computers, USB drives, smart phones, etc.
Reason for Policy:
The University has adopted a protocol to comply with NY State policy (http://www.albany.edu/its/4046.htm). The College has outlined the following procedure to comply with University policy.
Procedure:
Computer Redeployments
If a computer or other device is still of use to members of the College, CAS Computing will wipe the hard drive and reinstall needed software (licenses may need to be purchased). Usually redeployments are done within departments but occasionally hardware will be redistributed to another department. Please be sure to contact CAS Computing before redeploying any computers within or outside of your department.
Computer Surplus
If a computer is no longer supported or is non-functional and can’t be fixed, the computer will be surplused or scrapped. CAS Computing Services will pick up the computer itself (the box), wipe or destroy the hard drive and surplus it. Departments will be responsible for surplusing any other equipment connected to the computer (monitors, keyboards etc.).
Other Devices
Please contact CAS Computing before disposing of smart phones, PDA’s, USB drives or any other equipment that may contain sensitive information.
